This Privacy Policy explains how Effortless Apply collects, uses, stores, and shares personal information when you use our job discovery, AI assistance, resume, email verification, billing, and automated application features. It is written for the current service and should be read with our Terms of Service.
1. Scope
This Policy applies to the Effortless Apply website, dashboard, onboarding flow, backend API, application workers, support communications, and related services. It also applies to personal information processed when we prepare, complete, or submit job applications at your direction.
2. Information We Collect
The information we collect depends on how you use the Service.
Account and contact information
- Name, email address, password or OAuth login metadata, and account identifiers.
- Phone number, location, online profile links, and other application identity fields you provide.
- Support requests, feedback, refund requests, and other messages you send us.
Career and application information
- Resumes, tailored resumes, cover-letter inputs, work history, education, skills, projects, certifications, and saved answers.
- Target job titles, preferred locations, seniority, remote preferences, blocked or boosted companies, scoring thresholds, and other job-search preferences.
- Jobs discovered, approved, rejected, submitted, verified, or needing your input, plus status, outcome, notes, and related application history.
Sensitive or regulated information you choose to provide
- Voluntary EEO information such as gender, ethnicity, veteran status, and disability status.
- Work authorization, visa status, sponsorship needs, conflicts of interest, relatives at a company, or other fields requested by employers.
- Portal credentials or application-account details you provide so the Service can sign in or create application accounts on your behalf.
Connected email information
- If you connect Gmail, we store connection metadata and encrypted OAuth tokens.
- We use Gmail access to read application-related confirmation and verification emails, not to send email or delete messages.
- We collect email subjects, status, timestamps, and verification metadata needed to show application status.
Free resume tool (no account required)
- If you use our free resume-tailor tool without an account, we extract the text of the resume you upload and the job description you paste to generate a tailored resume and match score.
- We do not store your uploaded file; we store only the extracted resume data and the tailored result, in an anonymous session identified by a random token, for up to 7 days.
- We automatically delete this data after 7 days. You can delete it sooner at any time from the tool, and we associate it with your account only if you choose to create one to download your resume.
Technical and usage information
- IP address, browser and device details, request logs, error reports, diagnostic events, and security telemetry.
- Usage data such as pages viewed, dashboard actions, application workflow events, and feature readiness checks.
- Billing status and subscription metadata received from Stripe. Stripe processes card details; we do not store card numbers.
3. How We Use Information
- Provide the Service: create your account, maintain your profile, discover jobs, score job matches, prepare forms, upload resumes, submit applications, and show status.
- Act at your direction: use your profile, resume, preferences, portal credentials, and saved answers to apply to jobs you approve or enable.
- Generate and improve application content: use AI to draft or select answers, tailor materials, and resolve form questions based on your profile and the job description.
- Verify activity: use connected email metadata to identify application confirmations, verification requests, and employer responses related to applications.
- Manage billing: create checkout sessions, manage subscriptions, update plan limits, process refunds or billing holds, and sync Stripe webhook events.
- Protect the Service: detect abuse, investigate errors, enforce limits, prevent fraud, secure accounts, and comply with legal obligations.
- Communicate with you: send account, security, billing, application, support, and policy notices. Marketing messages, if used, will include an opt-out path.
4. AI and Automated Processing
Effortless Apply uses AI and automation to match jobs, generate or select application answers, prepare materials, and fill forms. AI output can be inaccurate or incomplete. You are responsible for keeping your profile accurate and for reviewing settings, saved answers, approvals, and any application content you choose to submit.
When AI is needed, we send the minimum practical context for the requested task, such as resume excerpts, work history, saved answers, application questions, available form options, and job descriptions, to our AI provider. We do not use EEO data to score jobs or decide which jobs to show you.
5. Sharing Information
We share personal information only as needed to operate the Service, at your direction, or as legally required.

6. Do We Sell or Share Personal Information?
We do not sell personal information for money. We also do not currently share personal information for cross-context behavioral advertising. We do share personal information with employers, ATS platforms, job boards, service providers, and payment or infrastructure providers as described in this Policy.
Sharing information with employers and ATS platforms is a core part of the Service when you ask us to apply to jobs. You can stop future application sharing by pausing or discontinuing use of auto-apply features. For California opt-out details, see our Do Not Sell or Share page.
7. Cookies and Similar Technologies
We use cookies, local storage, and similar technologies for authentication, security, preferences, basic product functionality, and diagnostics. Disabling required cookies may prevent the Service from working.
We do not currently use third-party advertising pixels or behavioral advertising cookies. If that changes, we will update this Policy and provide legally required choices.
8. Data Retention and Deletion
We keep personal information for as long as needed to provide the Service, maintain your account, comply with legal obligations, resolve disputes, secure the Service, and enforce our Terms.
- You can export your data from account settings or through the authenticated profile export endpoint.
- You can delete your account from account settings after re-entering your password.
- Account deletion is designed to remove your profile, discovered jobs, application records, resumes, tailored resumes, learned answers, connected email metadata, and related per-user data from our systems, subject to legal or security retention needs.
- We cannot delete information already submitted to employers, ATS platforms, job boards, or other third parties. Contact those parties directly for their copies.
- Backups and logs may retain limited data for a reasonable period before ordinary deletion or rotation.
9. Security
We use administrative, technical, and organizational safeguards designed to protect personal information, including access controls, encryption for sensitive tokens or credentials where implemented, signed URLs for private files, and service-role controls on backend operations. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
10. Your Choices and Rights
- Access or export your information.
- Correct inaccurate information in settings or by contacting support.
- Delete your account and associated data, subject to exceptions.
- Disconnect Gmail or remove portal credentials.
- Object to, restrict, or opt out of certain processing where applicable law gives you that right.
- Limit use or disclosure of sensitive personal information where applicable law gives you that right.

11. International Users
Effortless Apply is operated primarily from the United States, and your information may be processed in the United States and other countries where we or our providers operate. If you access the Service from outside the United States, you understand that your information may be transferred to jurisdictions with different data-protection laws. Where required, we rely on appropriate transfer mechanisms such as Standard Contractual Clauses or provider data-processing terms.
12. Children
The Service is not intended for children under 18. We do not knowingly collect personal information from children. If you believe a child has provided personal information, contact support@effortlessapply.ai and we will review and delete it where required.
13. Changes to This Policy
We may update this Policy from time to time. We will post the updated version with a new effective date. If changes are material, we will provide additional notice where required by law.
